Important: This policy describes how Inov8ing handles personal information on this website, including the application and enquiry forms, hosting, and email delivery, as they operate today.

1. Purpose of This Policy

This Privacy Policy explains how Inov8ing collects, uses, stores, shares, and protects personal information when people visit the Website, apply to join the Inov8ing community, contact us, or submit a potential collaboration or investment enquiry.

This policy applies to personal information collected through the Website and its related application and enquiry forms. It does not automatically govern separate services or third-party websites that have their own privacy notices. Where a separate project or collaboration involves additional personal information, we will provide further information or terms when appropriate.

2. Who Is Responsible for Your Information?

The Website is operated by:

  • Operator / data controller: Inov8ing, an early-stage, online-first initiative
  • Brand: Inov8ing
  • Website: join.inov8ing.io
  • Privacy contact: contact@inov8ing.io
  • General contact: contact@inov8ing.io
  • Address, if required: Contact via email at contact@inov8ing.io

The information is the responsibility of Inov8ing, an early-stage, online-first initiative. Inov8ing is not presented as a registered company or legal entity.

3. Information We May Collect

The specific information collected depends on the forms and features that are actually enabled. The Website may collect the following categories.

3.1 Application information

Applicants may be asked to provide: - name; - email address and, if supplied, phone number; - country, city, or general location; - age or confirmation of whether they are under 18; - current occupation or study status; - skills and areas of interest; - self-described experience level for each selected skill; - primary skill and additional skills; - expected daily availability, weekly commitment, and schedule flexibility; - learning goals and reasons for applying; - portfolio links or examples of previous work, if available; - answers to application questions and information voluntarily included in the form.

Beginners do not need to have a portfolio unless a specific role or opportunity clearly states otherwise.

3.2 Account and verification information

If email verification is enabled, we may process the email address, verification status, relevant timestamps, and technical information needed to prevent abuse and confirm control of the address. We should not collect identity documents or other sensitive proof unless there is a defined need, a suitable secure process, and an appropriate legal basis.

3.3 Communications and review records

We may retain messages and notes relating to application review, requests for clarification, interview scheduling, acceptance or rejection decisions, waiting-list status, onboarding, and support. Internal notes should be relevant, factual, professional, and limited to what is reasonably necessary.

3.4 Collaboration or investment enquiries

If separate enquiry forms are enabled, we may collect the information submitted in those forms, such as contact details, relevant experience, proposed collaboration, project interests, resource offers, or investment interests. The public Website must not ask people to submit passwords, payment-card details, private keys, or other highly sensitive credentials through an ordinary enquiry form.

3.5 Technical and usage information

Depending on the hosting configuration and services actually used, the Website or its providers may process technical information such as IP address, browser and device type, requested pages, timestamps, error logs, security events, and cookie or analytics identifiers. The exact categories depend on the implemented setup.

The Website does not use analytics, advertising pixels, session replay, or other tracking technologies. It uses only necessary cookies for the form session, security, and administration. Any consent mechanism required for future tracking will be implemented before that tracking starts.

4. How We Use Information

We may use personal information for the following purposes, where appropriate and lawful:

  • to receive and process applications;
  • to verify an email address and reduce spam or fraudulent submissions;
  • to categorize applications by selected skills and experience;
  • to assess stated availability and suitability for current team or project needs;
  • to contact applicants about their application, interview, waiting-list status, or next steps;
  • to send collaboration documents and onboarding information to selected applicants;
  • to respond to questions, complaints, and enquiries;
  • to consider possible project, resource, or investment discussions;
  • to secure, troubleshoot, maintain, and improve the Website;
  • to detect abuse, investigate security incidents, and enforce applicable terms;
  • to maintain records of decisions, agreements, and communications where necessary;
  • to meet legal obligations or establish, exercise, or defend legal claims.

We should not use application information for unrelated marketing campaigns without an appropriate legal basis and, where required, separate consent.

5. Application Review and Automated Categorization

The Website may automatically group applications according to skills selected by the applicant---for example, video editing, content research, development, design, marketing, or YouTube management. It may also record the applicant's self-selected experience level and primary skill.

Automatic categorization is an administrative sorting tool. It does not by itself guarantee acceptance, assign a person to a project, or determine their entitlement to revenue.

Inov8ing's authorized reviewers make selection decisions using relevant information such as the applicant's interests, availability, stated skills, experience, communication, and current organizational needs. Where an application is rejected or placed on a waiting list, the decision may reflect capacity and project needs rather than a judgment that the applicant lacks potential.

If a material decision-making process changes to rely solely on automated processing, this policy will be updated before that process is enabled.

6. Legal Grounds and Consent

The appropriate legal basis for each processing activity depends on the actual operation, the person's relationship with Inov8ing, and applicable law. Depending on the circumstances, processing may be based on steps requested by the applicant, legitimate operational interests that do not improperly override individual rights, consent where required, or compliance with a legal obligation.

Where consent is relied upon, it should be specific, informed, freely given where required, and recorded. A general checkbox should not be used to disguise unrelated purposes or to make an unnecessary use of data a condition of applying.

This policy is intended to comply with applicable Pakistani law and any other laws that apply to the Website or its users.

7. Who May Access or Receive Information?

Access should be limited to people and providers who need the information for a defined purpose.

Depending on the actual setup, information may be accessible to: - the Inov8ing founder or authorized administrator; - a person authorized to help review applications, if such access is introduced; - hosting, database, email-delivery, verification, form, backup, security, or meeting-service providers; - professional advisers where reasonably necessary; - public authorities or other parties where disclosure is legally required or necessary to protect legal rights and safety.

The initial operating model is founder-led. If other reviewers are later given access, they should receive only the access needed for their assigned duties and should be instructed to protect applicant information.

We do not sell applicant personal information. Do not add third-party advertising or data-broker sharing without revising this statement and implementing any required notices and consents.

8. International Processing and Third-Party Services

Some hosting, email, form, meeting, security, or analytics providers may process information on servers located outside Pakistan. The actual locations and applicable safeguards depend on the selected providers and configuration.

The website is hosted on shared hosting, application data is stored in the application's database on the hosting server, and email is sent through the configured email service. The website uses only cookies necessary for the application form, security verification, and admin sign-in, and no analytics or advertising trackers.

The Website may link to services such as email providers, Google Meet, WhatsApp, or team communication platforms. If you use those services, the relevant provider may process information under its own privacy terms. Inov8ing does not control all of their independent processing.

9. How Long We Keep Information

We retain personal information only for as long as reasonably necessary for the purpose for which it was collected, subject to applicable legal, security, dispute-resolution, and recordkeeping requirements.

Application data is kept only as long as needed for recruitment review, legal obligations, and record-keeping, then deleted or anonymised. In general:

  • Unsubmitted form data: kept only as long as necessary for the technical function; unsubmitted form data is not retained unless required.
  • Rejected applicants: application details are deleted or anonymised after six months, unless the applicant has agreed to remain on a waiting list or a longer period is reasonably needed and lawful.
  • Waiting-list applicants: kept until the waiting-list period ends or the applicant asks to withdraw, subject to legal requirements. A maximum review date is set and applicants are notified.
  • Accepted members: necessary application and onboarding records are kept for the duration of the relationship and for a defined period afterward where needed for legal, financial, security, or dispute purposes.
  • Verification and security logs: kept only as long as proportionate to security needs.
  • Legal and agreement records: kept as required by applicable law and legitimate recordkeeping needs.

10. Security Measures

We aim to use reasonable technical and organizational safeguards appropriate to the information collected. These include: HTTPS for data in transit; restricted administrative access with hashed credentials; http-only session cookies; server-side validation and protection against common web attacks; rate limiting and spam prevention; and minimal data collection and access permissions.

No online service can promise absolute security. Do not claim that a measure is in place until it has been implemented and tested. Applicants should not send passwords, private keys, payment credentials, or confidential materials through ordinary forms.

11. Your Choices and Requests

Subject to applicable law and the circumstances, you may contact us to: - ask what personal information we hold about you; - request correction of inaccurate information; - request deletion or withdrawal of an application; - ask to withdraw consent where processing relies on consent; - object to or restrict certain processing where applicable; - ask about retention or the use of your information; - withdraw from a waiting list.

Some records may need to be retained where the law permits or requires it, where necessary to complete a transaction you requested, or to establish, exercise, or defend legal claims. We will explain relevant limits where appropriate.

To make a request, contact contact@inov8ing.io. We may need to verify that the request comes from the relevant person before disclosing or changing information. Do not send unnecessary identity documents in an initial request.

12. Applicants Under 18

Inov8ing may receive expressions of interest from people under 18. The Website should collect only the information necessary to assess an initial application and should avoid asking minors to provide unnecessary sensitive information.

Submitting an application does not itself authorize a minor to enter a binding collaboration, work arrangement, financial arrangement, or intellectual-property agreement. Before a minor is accepted into any activity requiring additional permissions or creating legal obligations, Inov8ing must implement an age-appropriate process, confirm applicable legal requirements, obtain parental/guardian authorization where required, and apply appropriate safeguards.

Applicants under 18 are not accepted into work until the guardian-authorization process and safeguards required by applicable law are in place.

13. Cookies and Similar Technologies

The Website uses essential technologies needed to operate the site, protect forms, and maintain security. It does not use optional analytics or other tracking technologies.

The cookies used are limited to the form session, security tokens, and the administrator session. They are essential to operating the site. Any legally required consent controls will be implemented before non-essential tracking is activated.

No consent banner is shown for optional tracking because the Website does not use optional tracking. If tracking is enabled later, this policy and the site's consent settings will be updated first.

14. Email and Other Communications

We may use email to verify an address, confirm receipt of an application, request clarification, communicate a selection decision, send an agreement, or provide onboarding instructions.

Where appropriate, WhatsApp or a meeting service may be used to contact shortlisted applicants or arrange an interview. Do not use a personal contact channel for unrelated marketing unless there is an appropriate legal basis and any required consent.

Applicants should keep contact details current and check spam or junk folders for expected messages.

15. Links to Other Websites

The Website may link to third-party websites or services. This Privacy Policy does not govern those external services. Review their own privacy notices before submitting information or creating an account with them.

16. Changes to This Policy

We may revise this Privacy Policy as the Website, services, or applicable requirements change. The current version should show its effective or last-updated date. If a material change requires notice or renewed consent, we will provide an appropriate notice or consent process.

Do not use a new policy version to silently expand the purposes for which previously collected personal information is used where additional notice or consent is required.
